Case study · BVM
Five tools. One continuous workflow.
BVM promotes seminars, conferences and regional events with a small team. Today, an event link becomes a complete LinkedIn post with an on-brand banner in seconds, ready for a person to approve.

How an event moves through the platform.
From event details to approved content.
Select a step to explore how preparation and human decisions work together.
Imported daily from bvm.org.
The workflow automatically imports event details from bvm.org every day. The topic, date and description provide a shared starting point for copy and design.
Turn details into a draft for review.
The workflow creates copy and branded banners using 18 templates. Feedback from 11 simulated audiences helps prepare the draft. This feedback is synthetic; human review follows in the next step.
Approval stays with a person.
The team checks the wording, design and date. It can adjust the content and resolve open questions before approving publication.
Approved. Scheduled for LinkedIn.
After human approval, the post is scheduled for publication on the LinkedIn company page. The copy and branded banners remain under the team's control until approval.
The starting point
BVM regularly promotes seminars, conferences and regional events with a small administrative team. In 2025, the association’s own communications plan asked: ‘AI stack: what can we automate?’
Until then, AI was used on an ad hoc basis: sometimes ChatGPT, sometimes an automation, banners in one tool and scheduling in another. Results were generic, there were no feedback loops, and each ad took around 45 minutes.
Before: five tools
Today: One platform brings together copy, design, review, approval and publishing, with roles, an audit trail and data protection.
The five implementation steps in detail
- 1
An event is published
New seminars, conferences and regional events are imported automatically from bvm.org every day.
- 2
AI writes and designs
Post copy and banners use BVM’s voice and visual identity, based on its own templates rather than a generic template library.
- 3
Audiences review the ad
Eleven simulated audiences, from people starting their careers to research institute leaders, provide feedback before anyone sees the ad.
- 4
A person approvesHuman
The administrative team reviews, adjusts and decides. Nothing is published without approval.
- 5
Scheduled and published
Scheduled to the minute and published directly on the LinkedIn company page.
Our approach
Understand the work first
Together with the team, we examined how an ad was created, from the event description to the post, and where time was being lost.
Measure the brand, rather than guess
We measured 18 original BVM templates layer by layer and recreated them in code. Every banner looks as though it came from the design team.
Bring everything onto one platform
Separate automations and tools were replaced by one place with roles, an audit trail and clear human approval.
A closer look
People make the decisions
No ad is published without approval. AI prepares it; the team decides.
Issues are verified, then fixed
When someone reports a problem, it is only considered resolved once an automated test confirms the fix.
No ranking of providers
In the visibility dashboard, each provider sees only its own data. A ranking would have pitted clients against one another.
‘Not recorded’ instead of 0
Anything that has not been measured is not shown as zero. All figures are labelled as minimum values.

Also built: the visibility dashboard
For the marktforschungsanbieter.de provider directory, a dashboard shows each listed institute what its entry delivers, from the Google search result to the click through to its own website. From specification to live data in around four weeks, backed by 314 automated tests.
