Plan your 2027 AI budget: costs, capacity and a pilot

Plan your 2027 AI budget with separate project and operating costs, internal time and a transparent worked example for small and medium-sized businesses.

Plan your 2027 AI budget for one named process and a verifiable first step. Separate project costs, ongoing spending and your team's time. Estimate possible value from your own workload and a handling-time difference measured in a test.

Published 28 October 2026 for the coming year's planning. The figures below form a fictional worked example, not a forecast of market prices or promised savings.

Five items for the annual budget

ItemWhat to record
ImplementationScope, excluded cases and acceptance
Models and licencesProviders, usage assumptions and billing
HostingServers, storage, backups and expected data volume
SupportOwnership, changes and fault response
Internal timeData preparation, tests, approvals and training

Also record the start month. A service that launches in September cannot deliver twelve months of value that year. Some costs still arise before launch.

A worked example that can argue against a project

Suppose your team handles 15 quotation requests per working day. Assume 220 working days and twelve minutes per request today. In the test, your team needs eight minutes including review and correction.

  • Volume: 15 × 220 = 3,300 requests a year.
  • Current handling: 3,300 × 12 minutes = 660 hours.
  • Assisted handling: 3,300 × 8 minutes = 440 hours.
  • Calculated released capacity: 220 hours.

At a fictional internal cost rate of €60 an hour, that capacity has an estimated value of €13,200. Your business saves that amount only if it avoids actual spending or puts the time to another economically useful purpose.

For the same fictional case, assume the following budget. These are calculation inputs, not EVORI quotation prices.

ItemAssumptionFirst full operating year, net
ImplementationOne-off€15,000
Model usage€100 a month€1,200
Hosting€20 a month€240
Support€200 a month€2,400
Total external spending€18,840
Internal project time30 hours × €60€1,800
Total including internal project time€20,640

Under these assumptions, the capacity value does not cover the first year's cost. Quality, turnaround or fewer follow-up questions may also matter. Measure those effects before assigning them a value.

Agree what the pilot must establish: remaining review time, corrections on difficult cases, ongoing costs and operational effort. Ask the agency which data and access it needs from you.

In our AI quotation example, people supply a missing date and approve the draft. Include that work in your measurement. Timing text generation alone would leave out part of the process.

Our pilot checklist helps with scope and testing. To compare providers, use the ten checks in Finding the best AI agency for 2027.

Your next planning inputs

Download the 2027 budget sheet. Enter volume, baseline time and start month. Mark every value that is still an estimate. Ask suppliers to quote implementation, ongoing usage and support separately.

EVORI helps businesses scope and implement these projects. In an initial conversation, we can review your assumptions, a possible first step and the evidence you still need.

Frequently asked questions

Which costs belong in a 2027 AI budget?

Separate implementation, model usage, hosting, licences and support. Add your team's time for data preparation, tests, approvals and training. For each estimate, record the assumed volume and the planned operating period.

Does released working time equal financial savings?

Lower handling time initially creates capacity. Whether that becomes lower spending or additional revenue depends on how you use the time. Include corrections, support and the project ramp-up in the calculation.

How much should a company budget for AI in 2027?

One flat amount does not fit every business. First scope a process, measure its baseline and obtain a proposal for a verifiable initial step. The article's worked example uses fictional assumptions and is not a market-price forecast.
